Policies

Policies of Juniper Ridge Psychiatry

Welcome to Juniper Ridge Psychiatry. We are committed to providing the highest standard of psychiatric care. Please review our practice policies below to ensure a smooth and effective experience for all of our patients.

1. Billing and Payment Policy

We utilize Headway for all billing services. As part of our process, you will need to create an account with Headway to ensure seamless billing and insurance claims. Please make sure to set up your Headway account as soon as possible to avoid any billing delays.

2. Fee Responsibility

The full cost of missed or canceled appointments will be your responsibility, and these fees will not be billed to your insurance. Payment for missed appointments must be received before you can schedule your next appointment. The credit card on file will be charged for missed appointments, late cancellations, and any other applicable fees.

3. Missed Appointment and Cancellation Policy

We understand that life happens, but in order to maintain an efficient schedule and respect everyone’s time, we have the following policies regarding missed appointments and cancellations:

Missed Appointments: If you miss an appointment without giving prior notice, you will be charged the full fee for the appointment.

Late Cancellations: Cancellations made within 48 hours of your appointment will also incur the full fee for the missed session

Fees for Appointments:

  • 30-minute appointment: $160

  • 50-minute appointment: $230

  • Intake appointment: $325

To avoid these charges, please provide at least 48 hours' notice if you need to cancel or reschedule your appointment.

4. Follow-Up Appointment Lateness

If you arrive more than 10 minutes late to a 30 or 50 minute follow-up appointment, you will need to reschedule and will be charged a missed appointment fee of $160 for the 30-minute session or $230 for the 50-minute session. We kindly ask that you plan accordingly to make the most of your scheduled time. 

5. Intake Appointment Lateness

  • If you arrive more than 15 minutes late for an intake appointment, you may need to be rescheduled, and the full $325 missed appointment fee will apply. We encourage you to arrive on time to make the most of your scheduled session, as significant lateness can affect the quality and effectiveness of the evaluation.

 

  • To ensure adequate time for a thorough evaluation, patients arriving more than 15 minutes late for an intake appointment may need to be rescheduled. In such cases, the full missed appointment fee of $325 will be charged to the card on file.

6. Payment Method

We accept a variety of payment methods through Headway for your convenience. To ensure a smooth billing process, we require that at least one payment method be on file. You are allowed to save up to two payment methods at a time.

The accepted payment methods are:

  • Credit Cards: Visa, MasterCard, American Express, and Discover

  • Debit Cards

  • Health Savings Accounts (HSA)

  • Flexible Spending Accounts (FSA)

  • Health Reimbursement Accounts (HRA)

  • Checking Accounts (via ACH transfer)

You can add or update your payment method at any time by logging into your Headway account. To do so, click on your initials in the top-right corner of the page, then select the "Billing" option. From there, you can update your primary payment method, add a secondary payment method, or make changes to the information on file.

Please note: To ensure uninterrupted service, we kindly request that your payment information remains up to date. If your payment information changes, you can easily update your details directly through your Headway account.

7. Medication Refills

Medication refills should be requested at least 5 days before you run out of medication. We do not provide early or emergency refills. Please plan accordingly and reach out for refills with sufficient time to avoid interruptions in your treatment.

8. Treatment Expectations

We are committed to providing compassionate, ethical, and evidence-based care. Our treatment plans are created using clinical guidelines and best practices to ensure the best possible outcomes for your mental health.
Patients are expected to be actively involved in their treatment process by:

  • Attending scheduled follow-up appointments

  • Adhering to prescribed treatments

  • Communicating openly with their provider about their progress and any concerns

9. Confidentiality and Privacy

Your privacy is of utmost importance to us. All patient information is kept confidential and protected in accordance with HIPAA (Health Insurance Portability and Accountability Act) standards. We will not release your information without your written consent, except as required by law.

10. Telehealth Policy

If you are participating in a telehealth session, please ensure that you are in a private and quiet environment with a stable internet connection. Telehealth sessions are subject to the same policies as in-person sessions, including cancellation and missed appointment fees.

11. Communication with Your Provider

For non-urgent matters, you may reach out to your provider via our secure messaging system or by email. We ask that you limit communication to office hours for efficiency. If you require urgent care or a change in your treatment, please reach out during regular business hours or contact the emergency service providers in your area.

12. No-Show and Rescheduling Policy

If you are unable to attend your scheduled appointment, we kindly request you notify us at least 48 hours in advance to avoid a no-show fee and to allow for rescheduling. This will ensure that others in need of care may take advantage of the open time slot.

13. Benzodiazepine Policy

At Juniper Ridge Psychiatry, we do not prescribe benzodiazepines (Xanax, Valium, Ativan, Klonopin etc.)for long-term use due to their potential for dependence and other risks. If you are currently prescribed benzodiazepines and have been using them long-term, we will work with you to safely wean you off these medications and transition to a safer, more appropriate alternative. Our goal is to ensure your health and safety through evidence-based treatment strategies.
